BID SUPPORT

The preparation of a formal bid is a key part of the process in bringing a conference to Ireland.
Our specialist Account Managers have expert knowledge of the conference market and are well-acquainted with the competitive bidding process required to attract prestigious events.

GENERAL MANAGEMENT

We will appoint a dedicated Account Manager to your event who will partner with the Conference Committee to coordinate and deliver full administration and management support as well as schedule periodic meetings and conference calls with the Conference Committee.

FINANCES & BUDGETING

Budgeting was never easier. We prepare and manage your event budget, agree and collect registration and sponsorship fees and manage third-party provider payments. You will receive status reports and updated budgets on a regular basis and we submit the final event accounts in a timely fashion.

VENUE & CATERING

We assist in selecting the most appropriate venue, and coordinate the meeting space requirements, exhibition space, poster displays, secretariat and registration facilities as well as liaise with venue and catering contractors.

SOCIAL EVENTS

We arrange and coordinate welcome receptions and gala dinners, field trips, site visits, tours, transfers, sightseeing tours for accompanying persons, pre and post-conference trips, you name it!

ACCOMMODATION

We assist delegates and speakers with their accommodation and liaise with venues to provide sufficient and appropriate accommodation in a variety of price ranges. Hotel and student accommodation block bookings, rooming lists, cut-off dates, special requirements, payments, etc.

ONSITE

We organise onsite personnel, coordinate distribution of materials to delegates, arrange signage, manage audio visual requirements and all technical aspects of the event, and liaise with sponsors and exhibitors, venue and speakers.

SPEAKER MANAGEMENT

Our professional team will liaise with all speakers so you don’t have to worry about the details. We will coordinate all logistical information including submission of papers, presentations, speaker room, AV requirements, local travel arrangements and accommodation.

EXHIBITION & SPONSORSHIP

Assist in identifying potential sponsors. Arrange the production of sponsorship packages. We liaise with sponsors and exhibitors, coordinate the layout of the exhibition and all logistical arrangements.

A custom Website and App will be designed by our experienced team to provide your delegates with all the information they will need before, during and after the event. Instant messaging and polls during sessions, social media integration, live updates. The possibilities are endless.
